Customize Field Service Mobile to Fit Your Team

Introduction

Unexpected problems can happen when a technician visits a customer. The mobile app must help technicians deal with those problems. Salesforce Field Service Mobile ships with a standard technician experience, but it doesn’t have to stay that way. Depending on the requirements, a company can shape it around its own service processes. That can mean standard Salesforce configuration, Flow automation, custom Lightning Web Components, mobile app extensions or integrations with external systems.

Several areas of a service visit can benefit from a custom mobile workflow.

Repair Help During the Visit

Inside Salesforce Field Service Mobile, technicians can receive repair help. An AI assistant guides them to the details they need as the job goes on.

Organizations can bring this kind of assistance into technician workflows with Agentforce for Field Service. Pre-work summaries, troubleshooting support, technical documentation, help with identifying replacement parts: which of these is available depends on the configuration and the connected knowledge sources.

Field Documentation as Part of the Job

Time spent on paperwork after a visit is time not spent on the next one. A custom mobile workflow lets technicians enter data and complete documents during the visit itself. Salesforce offers Data Capture, Service Reports and Flow-based workflows for collecting field information. When the documents are more specialized, these tools can be extended with additional components or third-party solutions.

QIAGEN completes its field service documents with SharinPix, a solution integrated with Salesforce. SharinPix reports time savings of 45 to 60 minutes per installation and around 30 minutes per preventive maintenance visit. Completed work is written down as the job goes, so the office receives the data it needs for reports, invoices and customer follow‑up.

Tools Technicians Use

Some jobs call for tools outside the mobile app. From their Salesforce Field Service Mobile workflow, technicians can open equipment guides, technical diagrams and other web tools.

In specialized industries, Field Service Mobile can be extended to connect technicians with external engineering applications. Here is one possible architecture, taken from a CAD/BIM integration concept for Salesforce Field Service Mobile. A mobile app extension opens a web-hosted CAD/BIM viewer from a Work Order. Integrations of this kind require additional development and validation. Authentication, mobile compatibility and connectivity need particular attention.

Field Operations and the Rest of the Business

Changing a work order status is only one part of a service visit. Technicians also create sales opportunities, send data to financial systems, record costs and pass on details the office uses to invoice customers.

Custom Field Service Mobile actions can cover these tasks: capturing additional sales opportunities, recording job-related costs and starting processes that continue in back-office systems. Salesforce Flow and integration services can connect them with CRM, ERP and financial processes.

FourGen worked with Uptima on a solution built on Salesforce Sales Cloud and Field Service, linked with Microsoft Dynamics 365 Business Central. The project included a custom interface. In it, technicians can see job information, create sales opportunities, change work order statuses and ask questions. Integrations like this also show the business how actual costs compare with estimates.

Quotes and Payments on Site

Some visits turn up additional work or the need to replace equipment. Technicians can handle the conversation on the spot, without calling the office, waiting for a quote or opening a separate tool.

With the right Salesforce configuration and integrations, all of this can be done from the mobile workflow: assessing the additional work, preparing pricing options, getting the customer’s approval and starting payment collection. Depending on the business requirements, this may take custom components, quoting functionality, approval automation and a supported payment provider.

Rosetree Solutions implemented Salesforce Field Service for a residential HVAC service provider. Technicians there create quotes with multiple options on site, record equipment details and completed work, and collect payment without calling the office. Larger equipment-replacement quotes can be routed to an estimating specialist, and customers automatically receive arrival notifications with the technician’s current location.

For service businesses, this can shorten the wait between spotting additional work and getting the customer’s approval.

Parts Tracking with Mobile Barcode Scanning

Technicians need the right parts for each job, and service teams need to know where inventory is. Parts move from a warehouse to a technician’s vehicle and then to a customer site. Manual updates along the way can leave gaps in inventory records.

Custom Lightning Web Components can add barcode scanning to Salesforce Field Service Mobile. The scanned identifier can be used to find a product or inventory record, and it can start configured inventory transactions. With suitable automation and integrations, parts can be tracked as they move between warehouses, technician vehicles and customer sites.

Rithom implemented a Portal.io integration with Salesforce Sales Cloud and Field Service for a company that installs high-end audiovisual equipment. Accepted proposals automatically become sales opportunities and work orders. Inventory is reserved for specific jobs, and mobile barcode scanning is supported. Every scan updates inventory records. As a result, the business can follow parts from the warehouse to the customer site, with less manual data entry.

A Mobile Interface for Each Type of Technician

An installer and a repair technician may open the same type of service record and still need different information and actions. A customized mobile layout can show each team the fields and actions it actually uses.

Third-party extensions such as Diabsolut’s SFS-X Mobile Layout offer other ways to organize mobile record information, including tab-based layouts, and can help tailor the interface to technician roles. Their configuration options, offline behavior and synchronization capabilities should be evaluated against the organization’s requirements.

Turn Operational Needs into a Practical Mobile Workflow

Customization should begin with the technician’s workflow. Which features to enable comes after that. First, find out what technicians need to do before, during and after a service visit. Then note where the standard mobile experience creates unnecessary work.

  • Map the current process. Write down each step technicians take before, during and after a visit.
  • Find where the time goes. Check data entry, unnecessary switching between apps and phone calls to the office.
  • Define the mobile workflow. Specify what technicians should be able to view, record and complete in the app.
  • Set clear goals. Decide what the changes should improve, such as documentation time, data quality, job visibility or the handoff to invoicing.

The solution also has to account for real field conditions, and permissions and record access must support the intended workflow.

At Jet BI, we help organizations review their existing Salesforce Field Service setup, find where it can be improved and implement mobile customizations that fit real technician workflows. Whether the answer is standard configuration, custom development or integration with external systems, we aim to make Field Service Mobile easier to use and more effective for the business.

Locked Out of Salesforce? MFA Enforcement and Network Freezes Explained
A practical guide to the two Salesforce security changes that became mandatory in 2026: MFA enforcement for all direct UI logins, including phishing-resistant MFA for privileged users, and automatic account freezing for traffic from anonymizing VPNs, proxies, and high-risk IP addresses. The article explains who is in scope, which users, integrations, SSO setups, and test automation get caught out, how to restore access after a freeze, how to prevent lockouts, and where the two changes combine into the hardest failure scenarios for admins.
