How Jet BI Transformed Field Service Operations with Salesforce Agentforce

Introduction

An AI agent can work well in a controlled scenario and still struggle with the realities of everyday customer service.

That was the challenge facing a London-based field service company using Salesforce Agentforce alongside Salesforce Field Service. The agent could analyse customer cases, find available appointment times, help prepare customer responses, and support bookings.

The foundation was already there. The challenge was making Agentforce more reliable, flexible, and useful as part of the real customer service workflow.

From a Working AI Agent to a Reliable Assistant

The existing agent worked within fairly strict parameters.

To find an available appointment, employees needed to provide specific information such as territory, required skill, job duration, and date range. If something was missing or phrased differently, the agent could return an error, an inaccurate result, or an inconsistent response.

Real field service requests are rarely that predictable.

A job may require several skills, a particular territory, a specific technician or type of resource, and suitable availability. The Salesforce Agentforce implementation therefore needed to evolve beyond single-skill matching and precisely structured instructions.

There was also significant manual work around new customers. An employee could start working with a Case using Agentforce but then need to leave it, create and populate customer records, link them back to the Case, and return to continue the booking.

Making Agentforce Work the Way Customer Service Teams Work

Rather than changing the existing Salesforce Field Service architecture and business processes, Jet BI focused on extending them with smarter AI-driven field service automation.

The objective was simple: reduce unnecessary manual steps, make interaction with the agent more natural, and allow Agentforce to participate in more of the existing Salesforce Field Service workflow.

Instead of expecting every request to contain exactly the right parameters, the enhanced agent can support a structured conversation and request information that is still missing.

The solution was enhanced to support several important operational scenarios:

  • matching service resources against multiple job requirements;
  • identifying existing customers before creating new records;
  • linking existing customer information or creating the required Account, Contact, User, and Address records;
  • working with customer addresses and service territories;
  • finding appropriate available appointment times;
  • supporting Work Order and Service Appointment creation from the Case.

Behind the scenes, Jet BI refined Agentforce topics and actions and connected them with the Salesforce automation already supporting the business process.

From Customer Request to Booking

The difference is easiest to see through the process itself.

Before

Customer Case → manual customer record creation and linking → resource and availability search → booking.

With the enhanced Agentforce workflow

Customer Case → guided AI interaction → customer identification or creation → resource matching → availability → booking.

Agentforce works with the Case context and helps establish the information required for the job. If something important is missing, the conversation can continue rather than simply ending with an error.

It can then help identify suitable resources and available time slots. Customer information can be matched with existing Salesforce records or created when necessary. Once an appointment is selected, the process can continue into the corresponding Work Order and Service Appointment with the relevant customer, address, resource, duration, and scheduling information.

Importantly, the customer service employee remains in control. The team defines important job requirements, can refine resource and time-slot suggestions, and remains involved in customer communication and booking decisions. Agentforce handles more of the repetitive Salesforce work around those decisions.

What Changed?

The immediate impact is operational.

The enhanced workflow reduces manual record handling, removes much of the dependency on precisely worded prompts, supports more realistic resource matching, and keeps more of the customer journey inside one connected Salesforce process.

For customer service teams, that means less time navigating records, copying information, and performing repetitive system actions — and more time focused on helping customers.

For customers, it creates the foundation for a faster and more consistent journey from the initial request to finding the right technician and booking an appointment.

And importantly, these improvements build on the company’s existing Salesforce Field Service architecture rather than requiring the business to redesign processes that already work.

The Next Step: From Internal Assistant to Customer Self-Service

The internal Agentforce assistant is not necessarily the end state.

Once the workflow reaches the required level of reliability, the same approach can become the foundation for a customer-facing Agentforce experience.

Customers could eventually ask questions, provide job details, check availability, and book field service appointments directly through an AI-powered experience.

This creates a natural evolution: from using AI to support internal teams to using the same foundation to improve the customer experience itself.

Taking Field Service Automation Further

This project demonstrates an important point about field service AI: the value doesn’t come from simply adding an AI assistant to Salesforce.

It comes from understanding the real business process, identifying where AI can remove friction, keeping people in control where their judgment matters, and connecting Agentforce with the Salesforce data and actions required to turn a conversation into a real operational outcome.

If your organisation already uses Salesforce Field Service, the Jet BI team can help take it further — using Salesforce Agentforce to automate repetitive work, improve service operations, and build smarter customer experiences.
